Exiles MC Website User Guide

Slightly Technical Stuff

www.exiles-mc.com is a PHP/mySQL website written and maintained by the communications officer, Stefan. He's a cheap git who insists on writing code by hand using conText or Smultron and doing most of his database editing via a command line console. The pages are tested in Opera, Chrome, and Safari and then usually mangled to make them work in bloody Internet Explorer. Most of the custom graphics are made in Flash and finished in Paint Shop Pro. When dealing with large numbers of photos, Stefan's sanity is saved by two wonderful programs Fookes' easy thumbnails and Chosen Software's Batch File Rename.

Definitely Non-Technical Stuff

Hi, welcome to the Exiles MC website and its User Guide page, this page has opened in a new tab or window so that you can follow the instructions as you navigate the rest of the website. This is where I'll attempt to make the site easier to use and point out some of its features. Here are the topics I'll be covering in case you'd like to jump ahead;

    Signing up

    This website's basic features are available to anyone on the internet, to gain access to any additional features you'll need to sign up here;


    NB: If you want to follow more instructions as you sign up, switch back to your original window before you click the link.

    This link will bring up a form for you to fill in. You can make up your username and password yourself but your password must be at least 8 letters long, choose memorable words. Don't use the same combination that grants access to your online bank accounts, our login details are encrypted but not 100% hacker-proof.

    You must include your first name but you can add a nickname if you're better known by it. If you leave 'nickname' blank, the site will refer to you by your first name.

    Don't forget to read the small print and check the box at the bottom to say that you've understood it.

    If there's a problem with any of the information you've entered, the site will let you know by sending you back to this form and pointing out the trouble in a little red message box at the top of the page.

    Follow the instructions in the box. You'll also have to re-enter your password and check the box at the bottom again.

    Once all your details are correct, they will be saved to the website's database and a message will be sent to the admin personnel (currently just me) to tell them to check your profile and set your access level. In the mean time you can click the button at the bottom of the page to log-in automatically and edit your profile. This might help the administrator to work out who you are if they don't know you by name.

    Logging in and out

    Now that you have your username and password you can log into the website whenever you visit to see the extra features to which you have access.


    Sign in using your username and password.

    Checking the 'Keep me signed in' box before you click 'login' will set a cookie (a small file used by many websites to recognise returning users) on your computer which will automatically sign you in the next time you visit. It will keep signing you in until you click 'log out' at which point it will erase the cookie.

    Obviously it's best to only use this function on your own computer, not in an internet cafe as that would allow anyone else on that computer to edit your profile and access your special features.

    If the website doesn't recognise the username and password combination you have entered, it will return an error message like this;

    You may have mistyped one or both of your login words, try again, and make sure that Caps Lock is turned off, passwords are case sensitive.

    Forgotten passwords and usernames

    If you're sure that your typing is up to scratch and you're still having trouble, perhaps you've forgotten your correct username or password. Since both are encrypted, your password cannot be retrieved but the site can generate a new one for you.

    Clicking 'Forgotten password' will bring up a box for your email address. When a registered address is entered, the site will create a new password for the relevant user account and email it to the address provided. Admin will also be notified that a password replacement has been done so that they can check everything is running smoothly.

    Your username is also irretrievable but Admin can create a new one for you. There's no automatic function for this so you'll have to email the communications officer and ask them to do it, exiles@exiles-mc.com should do the trick.

    Access levels

    There are six access levels which allow access to different features of the website. Your access level is set by a website administrator according to your status in the club.

  • Guest - passing visitors or anyone who signs up on the site.
  • Associate - people we know, potential or ex-members.
  • Member - current club members.
  • Founder - the founding members of the club.
  • Committee - members of the current committee.
  • Admin - website administrators.

    An additional status setting 'deceased', is reserved for those members who have sadly passed away. Their membership profiles will remain on file indefinitely.

    Editing your profile

    Once you've logged into the website, you can edit your profile by selecting 'edit your profile' from the personalised feature menu at the top of the each page.

    There are only two compulsory fields on this page, your first name and your email address must remain filled. Everything else is optional. The date of birth field will accept any combination of missing entries so you can input just the year of birth if you like, or your birthday but no year if you don't want anyone to know how many candles to bring.

    You can upload a profile picture of yourself, this should be less than 30K in size and in a ratio that will look ok when it's displayed at 150 pixels width. If all this means nothing to you or you don't have the software to adjust a photo, email Admin for help.

    You can change your own password on this page by simply typing the new one into both boxes.

    Mailing lists

    We currently have three mailing lists connected with the website.

  • mailshot - ex-members, prospective members and other interested parties.
  • members - current members of the Exiles MC
  • committee - current members of the Exiles MC committee

    The mailshot list only sends out emails from the comms officer, the others are restricted to emails from the committee members although suitable and relevant information will be passed on to all members by the communications officer.

    You can subscribe or unsubscribe automatically to and from the Mailshot list by sending a blank email to these addresses;

    The Exiles Mailshot goes out at the start of each month (when the comms officer gets time to write it, within the first week) and contains details of upcoming events, news on recent events and rides, and items listed for sale by members.
